Privacy Policy
How Empire collects, uses, stores, protects, and shares personal information, along with the choices and rights available to users.
1. Who we are
Empire Platforms LLP operates Empire, a business finance and operations platform available at empirekeep.com. Empire Platforms LLP is the controller of the personal data described in this policy.

2. Scope
This policy covers the Empire marketing website, the Empire workspace application, the sales enquiry process, and the optional guided implementation and managed Individual Taxes services.
3. Information you give us directly
Sales enquiries: your name, email address, optional phone number, company name and website, the plan or service you are interested in, a description of your business, and any message you write.
Account information: the email address used to sign in and the authentication credentials handled by our authentication provider.
Customer Content: the income, expense, invoice, client, property, document, deadline, and task records you enter or upload into your workspace.
4. Information collected automatically
When you submit an enquiry we record the submission time and a truncated form of the network address of the request, used only to apply rate limiting and prevent abuse.
Our hosting and infrastructure providers process standard technical request data such as IP address, browser type, and timestamps in order to serve the site securely.
Empire does not run advertising networks, cross-site tracking pixels, or third-party behavioural profiling on the website.
5. Why we process personal data
To provide the Services and operate your workspace — performance of a contract.
To respond to sales enquiries and to scope plans and services — steps taken at your request before a contract.
To deliver guided implementation and managed Individual Taxes services you have purchased — performance of a contract.
To secure the Services, prevent abuse, and apply rate limits — our legitimate interests in operating a safe service.
To meet accounting, tax, and other legal record-keeping obligations — legal obligation.
6. Special categories and sensitive records
Empire is not designed for sensitive personal data. Please do not upload health records, biometric data, or similar categories.
Where the managed Individual Taxes service requires identifiers or financial documents, provide them only through the channels we specify and only to the extent required for the package you purchased.
Do not include tax identification numbers, full bank details, or passwords in a sales enquiry form.
7. Storage and processors
Personal data is stored in our managed cloud database and object storage, operated on our behalf by our infrastructure provider under a data processing agreement.
Authentication is handled by our managed authentication provider. Transactional and notification email is delivered by our email provider.
These providers process data only on our documented instructions and are bound by confidentiality and security obligations.
8. International transfers
Empire Platforms LLP is established in India and also maintains a United States correspondence address. Personal data may therefore be processed in India, the United States, and other jurisdictions where our providers operate.
Where a transfer leaves a jurisdiction with data-export restrictions, we rely on appropriate safeguards such as standard contractual clauses.
10. Retention
Sales enquiries are retained for up to 24 months from the last related correspondence unless they become part of a customer relationship.
Rate-limiting records are retained for a short operational period and then deleted.
Workspace records are retained for the life of the account and for a limited wind-down period after termination so you can export them, after which they are deleted or anonymised.
Records we must keep for accounting or tax purposes are retained for the period required by law.
11. Security
Access to workspace data is restricted at the database level so that a workspace is reachable only by the account holders and staff roles entitled to it.
Internal access to enquiry data is limited to authenticated staff holding an explicit staff role, and administrative interfaces are excluded from search indexing.
Data is transmitted over encrypted connections. No system can be guaranteed completely secure; the Security Information page describes what we do and do not claim.
12. Your rights
Depending on your location you may have rights to access, correct, delete, restrict, or object to the processing of your personal data, and to receive a portable copy.
You may also withdraw consent where processing relies on consent, without affecting prior processing.
To exercise a right, write to support@empirekeep.com. We may need to verify your identity before acting, and we respond within the period required by applicable law.
13. Complaints
If you believe we have handled your personal data improperly, contact us first at support@empirekeep.com. You also have the right to complain to the data protection authority in your jurisdiction.
14. Children
The Services are intended for business use by adults. We do not knowingly collect personal data from children. If you believe a child has provided us with personal data, contact support@empirekeep.com and we will delete it.
16. Changes and contact
We may update this policy. The current version is published at empirekeep.com/legal/privacy with a “Last updated” date.
